Artist/Vendor Event Rules & Regulations

We encourage you to join our vendor Facebook page located at XTXBXD. This will be the

first place for announcements, changes, weather updates and any other pertinent

information related to our markets. We have 75-100 participants at each event so sending

emails and making phone calls isn’t always time effective. Facebook is a one-stop-shop for

everyone.

These events will occur rain or shine! A minimum of 40lbs per tent legs is required. Artists

and vendors are required to remain open during event hours. NO EARLY TEARDOWNS!

Artists and Vendors who tear down early risk forfeiting future event dates and any booth

fees that have been paid.

Approved Merchandise: Only approved items will be allowed at Heart to Home Local

Artisan Market Events. Just like our retail store, we are primarily a handmade market. Our

markets will be 50% handmade and 50% local small businesses. Absolutely no Multilevel

Marketing Companies (MLM). If you are found to be selling items in your booth that were

not approved during the application process, you will be asked to remove those items from

your booth. If you refuse to comply, you will be asked to immediately leave the event and

risk acceptance into future events and will forfeit any prepaid booth rental fees.

Category Limits: We will do our best to limit how many vendors can participate in each

market per category. To maintain a balanced event, the number of vendors in specific looks

and product categories is limited. We will try to keep like categories to 3% of the overall

market. For example, if we have 100 vendors, we will only allow a maximum of 3 candle

vendors per event. We will do our best to ensure that those 3 candle vendors are also

different. For example, one vendor may be soy based, one vendor may be coconut based,

and one vendor may be only beeswax. The product categories can fill up quickly, so submit

your application today!

Artist/Vendor Acceptance (Do not apply if you do not plan to attend): After

applications are received and reviewed, and if we feel you will be a good fit for our

market(s), we will send you a text message from Heart to Home at 303.798.2036 to let you

know that we have received your application, you are accepted into the events you applied

for, and that we emailed you an acceptance letter and invoice (Make sure your email

address is correct on your application and CHECK YOUR SPAM FOLDER). Be courteous and

only apply if you plan on attending.

Booth Fees: ONCE YOU AVE BEEN ACCEPTED INTO A MARKET, YOU HAVE 3 DAYS

TO CONFIRM YOUR SPOT AND PAY. We are not going to chase you. If you do not

confirm and pay within the required time period, we will cancel the offer and invoice and

offer your spot to a waitlisted artist. Heart to Home Local Artisan Market is our business and

we put a lot of time and money into putting these events together. Booth Spaces are not

guaranteed until the booth fees are paid in full. Booth space fees are nonrefundable for any

reason.

Invoicing: A Quickbooks invoice for your booth fees will be sent to you along with your

acceptance letter. We accept payment via credit card or debit card via Quickbooks. You do

not need a Quickbooks account to pay your invoice. Due to the increased number of

scammers, we will no longer accept vendor payments via Cash App, Zelle, Venmo, or any

other form. Never make a payment for any event unless it comes from Heart to Home Local

Artisan Market via Quickbooks from our email address of events@hearttohomemarket.com

name, business and reason for the text or email. We have no way of knowing who you are

by email address and/or phone number. Help us out by giving us details. Include your

name, and a detailed reason for your inquiry.

Booth Size: Booth spaces are a minimum of 10X10 feet. All booths will be in-line with the

exception of a few corner spaces. Corner booths will be at the beginning and end of the

event space and will be extremely limited. If a larger booth space, such as a 10X20, is

requested, please let us know on your market application.

Booth Assignments: Booths will be strategically placed with each category in mind. Our

goal is to create a fun and exciting shopping experience for all our customers, while

maintaining each necessary emergency and fire code. Booth placement is final. Booth

spaces will be assigned upon receipt of the following:

● Approved application

● Receipt of full payment

● Copy of required sales tax license

● Copy of certificate of insurance naming Heart to Home Local Artisan Market as an

additional insured

● Signed Vendor Application

Tent Requirements: All tents must be the size you registered for. They clean and without

visible holes or stains. Tents must have a Top, back, and two sides.

Tent Weights: A minimum of 40lbs weights are required per tent leg. 50lbs is

recommended. Vendors will not be allowed to remain set up at an event if their tent is not

properly weighted. *See Preferred Equipment List for Suggestions*

Booth Sharing & Subleasing: Artists/Vendors who are collaborating together, but selling

separately, MUST submit two different applications and email us at

info@hearttohomemarket.com once both applications have been submitted to let us know

that you are applying together. A maximum of two artists per booth space

Booth Staffing Responsibilities: Please provide the names of anyone else who could be

responsible for staffing your booth on your application. All alternate individuals staffing your

booths must be over the age of 16 and be responsible for all Heart to Home and Property

Management Event Rules. For your safety and the integrity of our events, we need to know

this information in advance. Failure to do so could result in termination from future events.

Weather: These markets are rain, snow, sunshine events. There are no refunds for

inclement weather. 40 lb weights per tent leg is required, however 50 lbs is recommended.

Colorado is known for windy days and sudden microbursts. On the rare occasion that the

location requires evacuation or cancellation due to severe weather OR if we determine that

it is unsafe to hold a market due to weather, or issues outside of our control, Heart to Home

Local Artisan Market will work with you to move you to another future market. We will not

issue refunds, but we will work with you on a case-by-case basis to find you another event.

Artist Cancellation: In the event an artist is unable to participate in a Market Event, the

Artist Agrees to notify Heart to Home Local Artisan Market by text 303.798.2036 AND email

info@hearttohomemarket.com with a minimum of 2 hours advance notice. Include your

name, business name, and booth number (if known) when reaching out so we can help you

in a timely manner. It is the sole discretion of Heart to Home Local Artisan Market to treat

the Vendor’s failure to participate in such market event as a breach of vendor contract.

Heart to Home Local Artisan Market is not obligated to refund any monies, or move you to a

future event, for market events you are unable to attend for any reason.

Refunds and Event Changes: There are no booth refunds, no transfer dates, date/event

exchanges for any reason.

Cancellation Policy: Please communicate with us if you are unable to attend an event for

any reason. We will do our best to handle each situation on a one-off basis, although there

are no guarantees outside of event policy.

Sales Tax: It is the Vendor’s Responsibility to collect and submit local and state sales tax

as required by law. A copy of your sales tax license is required before booth assignments

can be given. You are required to have a copy of your sales tax license available in case of

an audit (photo or screen shot is ok). You can find more information about sales tax licenses

A Colorado sales tax license is required for attending and Heart to Home Local Artisan

Market Event. Please visit Revenue Online – State of Colorado or MyBizColorado to register

for your required Colorado Sales Tax License for only $16 for two years.

The City of Centennial requires 2.5% of your gross sales to be submitted no later than 15

days after each event date. Overdue payments are subject to penalties. We will guide you

through this process before and during each event, as necessary.

All tax information and requirements will be communicated before each event.

Food Licensing: It is the Food Vendor's responsibility to ensure that they are compliant

with local and state laws for Cottage Food and Potentially Hazardous Food laws. You can

Heart to Home Local Artisan Market is a member of Colorado Proud. Colorado Proud is the

largest and most in-depth database of its kind featuring a diverse community of food-

related businesses: buyers, farmers/ranchers, fisheries, farmers markets,

processors/packers, wineries, restaurants and more. We work together to ensure our

consumers receive the freshest Colorado food. We require all food vendors to follow the

necessary requirements and provide the certificate requirements prior to each event.

Liability Insurance: A certificate of insurance is required for all Heart to Home Local

Artisan Markets events. Please add Heart to Home Local Artisan Markets as an additional

insured:

Proof of insurance will be required for all Artisans a minimum of 14 days prior to your first

event. If you are an artist/crafter, you can purchase event insurance at

https://www.actinsurance.com. Food vendors visit https://www.fliprogram.com. Booth

assignments will not be given until the Certificate of Insurance is received. You can email

your proof of insurance to events@hearttohomemarket.com and put PROOF OF INSURANCE

and Your Name in the Subject Line.

Vendor Check in and Load in Process: Vendors will be given a Load in timeframe. Be on

time for your load in time window or you may be required to wait until all other check in’s

are complete or there is an opening without causing others to be late for their check in time.

1. All Vendors and supporting vehicles must check in at the Red Heart to Home Local

Artisan Market Tent before unloading.

2. BOOTH ASSIGNMENTS ARE SUBJECT TO CHANGE.

3. Spaces will be visibly marked with booth numbers and Vendors will be given

directions at check-in.

4. Only one vehicle per booth space may be allowed in the event space at a time.

5. All vehicles must be off the event space 30 minutes before the start of each event.

NO EXCEPTIONS.

6. All Vendors are required to unload their vehicles and park in the designated parking

areas BEFORE YOU SETUP YOUR BOOTH. Please drop your items, park your vehicle,

then return to your booth space to setup your tent, tables, etc. This is to ensure the

smooth operation of unloading 70+ vehicles without causing traffic jams.

Thank you for your assistance in this matter!

The check-in time is from TBD am to TBD am. All Vendors must be checked in by TBD am or

risk having their booth space given away. Heart to Home Local Artisan Market will schedule

load in timeframes. Please be sure to check the appropriate amount of time needed for set-

up on the vendor application. Set up times will be modified for future events as Heart to

Home Local Artisan Market deems necessary.

Load Out Rules:

1. All Vendors are required to remain open during Market event times.

2. Vehicles must enter and exit through the designated routes.

3. No vehicles will be allowed on the event premises to load your vehicle until your tent

is broken down, and your booth is completely packed up. Heart to Home Local Artisan

Markets will allow vehicles into the event space at their sole discretion. Vendors must

demonstrate that they are packed up and ready to load their vehicle before their vehicle

may enter the event space. This ensures that the traffic flow of 70+ Vendors is

constantly moving and not causing delays. Thank you for your understanding!

Vendor Parking: Vendors shall park their vehicles in the designated parking spots ONLY. If

you park in other non-designated areas, you will be asked to move your vehicle. Parking

spaces closest to the event are reserved for the customers. If they don’t have anywhere to

park, they won’t stay to shop!

Alcoholic Beverages & Smoking: No outside alcoholic beverages or smoking will be

allowed on any event premises for any reason at any time during the event, including setup,

takedown or during the event. If you do, you will be asked to pack up and leave

immediately and will be banned from future events. *Smoking includes the use of marijuana

and vape.

Trash: All booth spaces must be free from trash after each event, or you may face a fine or

disqualification from future events.

Fire Hazards: No burning of candles, incense, or any other open spark flame will be

permitted for any reason on event premises. This includes smoking of any kind. Please

leave the event area if you need to smoke, and discard cigarettes/cigars, etc.in a safe

manner.

Music: Absolutely no loud music or noise is allowed in your booth space. Heart to Home

Local Artisan Market staff reserves the right to play music as designated by the property

management staff.

Pets & Children: Vendors are allowed to have children at all of our events as long as they

are not causing a disruption and are adequately monitored and cared for at all times. Heart

to Home staff is not responsible for looking after your children or covering your booth space

for bathroom and food breaks. Children under the age of 16 may not be left

unattended in your booth space for any length of time for any reason. Vendors are

not allowed to bring pets to events, with the exception of service animals.

Advertising & Printed Materials: Vendors are prohibited from passing out flyers not

pertaining to their product to any customer. They may also not approach customers in aisle

ways with any printed materials. Absolutely no signage for competing stores, events,

or markets is allowed. Bring your business cards and encourage customers to visit your

social media or website pages for your other event listings.

Internet Service: We do not provide internet at our markets. Be prepared to use a hot

spot on your phone or tablet to take necessary payments.

Generator Use and Power: Generators are prohibited at all Heart to Home Market Events

unless you are a food truck and identify the use of one is needed in your application.

Additionally, we do not provide power at our events. If you need to charge your cell phone,

we recommend a power bank. A recommendation is below.

Inappropriate or unsafe Language or Behavior: There is a zero-tolerance policy at all

Heart to Home Local Artisan Market events for vendors and customers exhibiting unsafe or

obscene language or behavior (yelling, bullying, intimidation, unsafe driving, illegal business

practices, etc.) will be asked to leave immediately and will terminate future participation in

any event with Heart to Home Local Artisan Market and will relinquish all subsequent booth

fees.

**REMOVAL OR SUSPENSION FROM ANY EVENT IS AT THE SOLE DISCRETION OF

HEART TO HOME LOCAL ARTISAN MARKET**

Booth Fees: Sign up for 5 or more Heart to Home Market Events in 2025 and save.

How to Participate in a Heart to Home Local Artisan and Food Market:

1. Fill out the Online Application

2. Once Approved you will be emailed an invoice for all events you are accepted for. You will

have 3 days to secure your spot by signing the contract and making payment, or we will

move to the next person in line. CHECK YOUR SPAM FOLDER.

3. Guidelines for Vendor Setup and Marketing will be emailed approx. 2-2.5 weeks prior to

each event. Add events@heartothomemarket.com to your contact list or our emails will go

to your spam folder and you run the risk of missing important details.

We can’t stress this enough. You will only have 3 days to confirm your market spot

(application and payment) once your invoice is emailed. NO EXCEPTIONS. It is not the

responsibility of the Heart to Home Staff to follow up with you to confirm receipt of invoices.

Check your Spam folder after you receive a text message that you were accepted. Verify

your email address is accurate on your application. We are not going to chase you. If you

are not interested in event participation, please do not apply.
